We at the European Society for the Study of Tourette Syndrome (ESSTS) are committed to respecting the privacy of our website visitors.

This page describes our privacy policy and terms of use regarding the information we collect from you during your visit to our site, how we may use it, and how we will protect the information which you choose to provide us.This Privacy Policy does not apply to websites, applications, services or products that do not display or link to this policy or that have their own privacy policy. By using our website, you consent to the collection and use of the information described in this document.

- Personally Identifiable Information
ESSTS does not require that you provide personally identifiable information in order to use our website.  Personally identifiable information includes your name, address, postal code and telephone number, e-mail address and any other information which might be used to identify you individually.

You may provide personally identifiable information to us while using the site in the following situations:
1. When filling an online contact form
2. When filling the online membership registration form
3. When submitting a newsletter registration request form
When you contact us with a question or comment, we may collect Personal Information that allows us to be in contact with you, such as your name, address, email address and phone number.
4. When you register for an event
We may provide online registration for our events and collect your Contact Information and other Personal Information you choose to provide to us. We may also collect your IP address (anonymously) and aggregate web server traffic information such as the number of visitors to our website, length of stay and sources of traffic in order to improve our website and our service to you. Personally identifiable information will never be sold, rented or exchanged outside of the Society, its successors or assigns, unless the user is first notified and expressly consents to such transfer.

- How do we use personal information?
We use your Personal Information to manage our membership lists and provide and improve our services and outreach. In particular, we use:
Contact Information to respond to your questions, comments, requests and inquiries and otherwise correspond with you, including sending news and other information we think you will find valuable.
Registration Information to plan and organize the event for which you have registered and help us cater the event to you. We will not use Personal Information for any purpose incompatible with those outlined in this Privacy Policy.

- What Personal Information Do We Disclose?
We only share Personal Information with third parties who are bound by terms at least as restrictive as this Privacy Policy and only in the following ways:
Service Providers
We may share Personal Information with third-party service providers who perform a variety of functions to enable us to provide our services, such as Host City Organising Committees who collaborate directly with us during the planning of the annual ESSTS meetings, and our web designers who update the members lists and prepare the relevant newsletters. These service providers only have access to the Personal Information necessary to perform their functions, only act on our behalf and under our instructions, and may not use your Personal Information for purposes other than to perform such functions.
Legal
We may disclose Personal Information to courts, law enforcement agencies and other government bodies where we believe that doing so would be in accordance with or required by any applicable law, regulation or legal process.
Reorganisation
In the event of a reorganisation, we may transfer any and all Personal Information we collect to the relevant third party involved in the reorganization, with the consent of individuals if and as required under applicable privacy laws.

- How do we protect your personal information?
We maintain reasonable administrative, technical and physical safeguards to protect Personal Information against loss, theft, misuse and unauthorized access, disclosure, alteration and destruction as required by applicable law.  For instance, we use Secure Socket Layer (SSL) encryption, which is one of the leading security protocols for data transfers on the internet.  We also restrict access to your Personal Information to authorized staff with a legitimate and specific business purpose; ESSTS board members, ESSTS meetings organising committees, ESSTS web designers.

- Your choice
We respect your privacy and recognize that you may wish to limit the ways in which we contact you. Simply send an email to administrator@essts.org and provide your full name, mailing address and a sentence requesting suppression of your personal information in our files.To opt out and remove your name from future emails from us, follow the unsubscribe instructions in the message.

- Cookies
A cookie is a small text file that is sent to your web browser and stored on your hard drive. The use of cookies is a standard practice among websites to collect information about visitors' activities while using the website.  We use cookies on our website to enable the site to work properly and collect aggregate data about usage of our websites. The information generated by the cookies we use when you visit our website is anonymized and does not contain any Personal Information which can be associated with an identifiable individual. This Privacy Policy does not apply to the collection, processing and use of Personal Information by companies that we do not own or control or to people that we do not employ or manage. Although our website may link to the websites and services of External Parties, such as those of fellow associations and social media companies, we do not exercise control over the activities of External Parties.  For more information about what Personal Information External Parties collect and how they use such Personal Information, please refer to their privacy policies.

- Access, correction and other rightsIn accordance with applicable law, you may correct, update, delete, block or limit our use of your Personal Information by contacting us by the means noted below and clearly describe your request.  We will try to comply with your request as soon as reasonably practicable and in any case under the timeframes set forth by applicable law.  Please note that we may need to retain certain information for record-keeping purposes as required or authorized by law.

- Changes
The European Society for the Study of Tourette Syndrome reserves the right to make changes to this policy without notice.  Any changes to this privacy policy will be reflected in changes on this page. Please check this privacy page periodically to review any changes that may have been made. If you disagree with our Privacy Policy changes, please discontinue the use of our website.

Meeting cancellation & refund policy

If a registrant is unable to attend an event for any reason, they may substitute, by arrangement with ESSTS, someone else from the same organisation.

If a registrant is unable to attend and, provided the conference organisers are informed in writing by the final date for payment that is displayed on the website for the event, a registrant can leave the fee paid with the organisers as payment towards a place at the same event or another academic conference event that takes place in the 12 months following the originally booked event.

In the case of a contributing author, the paper will not be published in the conference proceedings if the fee is held over for another conference.

Where the registrant is unable to attend, and is not in a position to transfer his/her place to another person or to another event, then the following refund arrangements apply:
-Registrations cancelled more than 60 days before the event will be refunded 80% of the registration fees.
-Registrations cancelled less than 60 but more than 30 days before the event will be refunded 50% of the registration fees.
-Registrations cancelled less than 30 days before the event will not be eligible for a refund.
-Registrations from authors cancelled as a result of a paper not being accepted will be refunded 80% of the registrations fees.
The remaining 20% of the fee contributes to administration costs incurred.

-Cancellations from authors made after a failed visa application will be refunded the registration fees paid in excess of €200, which covers the costs associated with processing the paper.
In this, the paper will still be published in the conference proceedings and delegates will receive an electronic copy of the proceedings.
Early bird student registrations are not refundable in this instance.

-Cancellations from non-authors made after a failed visa application will be refunded as registration fees paid minus an administration charge of €50 per participant registered.
Conference proceedings for registered participants who are for whatever reason unable to attend will be mailed by regular post to the address we have on file. This will only be done once. Should you have to withdraw, please ensure we have your correct mailing address on file.In the event that printed proceedings have been ordered and the participant is unable to attend, additional postage charges may be applied.

Important note for failed visa applications
Notification must be received by us in writing (email or fax) not later than 10 (ten) working days before the conference starts * for refunds to be eligible.
Cancellations received after this cut-off time will not be eligible for refund.
*Saturday and Sunday do not count as working days.

Refunds will be made in the following ways:
-For payments received by credit or debit cards, the same credit/debit card will be refunded.
-For all other payments, a bank transfer will be made to the payee nominated account.
Please note: For payments received from outside the EU by bank transfer, the refund will be made by bank transfer and all bank charges will be for the registrants account.
